Your base of users: where it comes from and what to do with it
Everyone who wrote to your bots: tags, user cards, search, “Do not message”.
Your customers are your main asset. “Contacts” is the list of everyone who ever reached your bots: it builds itself, and you can take it with you at any time.
Where contacts come from
Someone writes to your bot, or leaves a comment — and they appear in “Contacts”. Nothing to add by hand, and you do not have to reply for that to happen. Instagram conversations that arrive with the account connection land in the list too: we collect them ourselves, which takes a few minutes.
The section opens from “Settings” (the “Contacts” row), and on a phone from the menu of the “Chats” section.
The list
Four columns: “Name”, “Reach”, “Tags”, “Seen”. Above them a search field, “Find a contact…”, a filter button (the funnel) and a row of folders. On a wide screen the search and the folders sit in the column on the left, and the funnel above the list.
Folders and filtering
Folders work exactly like in Chats: a row of folders above the list with a settings gear at the start of the row. Tap a folder and the list shows only the users who fit it; the number on a folder is how many users it holds. Two folders are ready from the start: “Personal” (everyone you have exchanged direct messages with — at least one message either way) and “All”; the section opens on the first of them. Rename, reorder or delete them as you like.
Once you connect a second account, a folder for each account appears on its own — both here and in Chats — and takes the first place in the row. Such a folder shows in the row as two circles instead of a word: the network icon and the account photo. Any folder of yours can look that way too — pick a single account in its conditions and turn on “Show as account”. Rename or delete such a folder as you like: a deleted one is never brought back by us.
The settings button opens the list of folders: tap a folder to edit it. “Add a folder” is always there under the list. In the app, “Restore the default folders” appears after “Edit” at the top right; in the browser the button sits under the list, and restoring asks you to confirm first. In edit mode you can reorder folders: press and hold a row and drag it to its new place. To delete a folder, swipe its row to the left and tap “Delete” (in the browser — the circle next to the row in edit mode); the users stay. Close the settings and edit mode switches itself off. A folder has a name and conditions; under the conditions you can see how many users match them right now, and they are saved with “Done” (“Save” in the browser). Conditions add up — a user lands in the folder only when all of them match:
- “Account” — users who wrote to the selected accounts.
- “Passed the bot” and “Has not passed the bot” — by your bots; for “Passed the bot” you can refine “How” and “When”.
- “Received a message” — a broadcast or a chain message.
- “Has a tag” and “Has no tag”.
- “Personal” — everyone you have exchanged direct messages with: at least one message either way. Comments without a conversation are not included.
The funnel next to the search offers the same conditions as a one-off: it is not saved into a folder and applies on top of the selected folder.
In the app the list looks just like the Chats list: the user’s photo on the left (or a circle with the first letter of their name), the date on the right, the @username and the labels under the name.
An empty list means your bots have not talked to anyone yet.
A user’s card
Tap a row to open the card. Inside:
- “Channel” — Instagram or Telegram;
- “Phone” and “Email” — whatever the bot managed to learn;
- “Last seen” and “In the base since”;
- “Tags” — the ones you put on this user yourself, one per row; in the app a swipe to the left removes a tag, and “Manage tags” opens the list of all your tags with checkmarks and lets you add a new one. Tags are shared by all users: a swipe to the left in that list deletes the tag for everyone, after a confirmation;
- “Bots completed” and “Messages received” — which bots talked to this user and which broadcasts and chain messages were delivered to them, with dates. Messages are grouped in a separate block under each bot's name; a block shows the three latest, and the “more” row shows the rest. A chain message that was scheduled but did not go out sits in the same list with a note: “skipped by you”, “skipped: condition not met”, “skipped: chain finished”, “skipped: while the bot was off”, “not delivered”. Delivered ones carry no note. Filters and folders select people by the same facts;
- “Data” — what the bot wrote down about the user (answers, counters);
- upcoming and past messages — what is still queued for them and what already went out.
At the bottom of the card sits “Delete contact” (it removes the user). When a conversation with them already exists, “Open chat” in the card header takes you straight to it.
Tags
A tag is a short word you attach to a user: “bought”, “asked”, “came from the post”. There are three ways to set one, and the tag is the same whichever way it came: by hand on the user’s card (the Tags row opens the list, where you can pick a tag your users already carry or type a new one in your own words and tap Add; the same list is where you take one off — with the cross next to it), with an “Add a label” button under your message, or with the “Save to the card” step in a bot.
You can tag someone whose conversation has only just started: the card is created for you. In the browser the tags sit right on the card — a field and the Add a tag button under the list.
Tags are then the easiest way to choose who gets a message: filters, folders and the “Who gets it” conditions work on all of them, wherever they came from — set by hand on the card, by an “Add a label” button under your message, or by the “Save to the card” step in a bot. Finishing a bot is not a tag: the Finished the bot and Got a message conditions are what covers it.
All tags of your account are collected in Settings → Data → Tags: next to each tag you see how many contacts carry it. There you can add a tag (Add a tag), rename it or delete it: tap a tag and choose an action (in the app the same menu opens on a long press). Before a tag is deleted you are asked to confirm, with the number of contacts that carry it; once deleted, the tag is removed from all of them. A tag cannot be renamed to a name another tag already has.
“Do not message”
The card has a “Do not message” switch. The hint says it plainly: “The user asked not to be disturbed: chain messages and broadcasts will not reach them.”
There is also an automatic note: if someone stopped your bot in Telegram, the card says “This user stopped the bot — new messages will not reach them, and they are left out of mailings.” It clears itself if they start the bot again.
